The Planetary:

The Berggruen Institute’s “Global to Planetary” theme aims to clarify the political and philosophical implications of our new era, one in which our most pressing challenges exceed the narrow concerns of human beings. Overlapping contemporary crises require a more nuanced understanding of the ways in which phenomena and flows that were once seen as mere background characters – such as microbes, atmospheric carbon compounds, oceanic plastics, the data flooding through algorithms, and more – have been revealed as central, drawing into relief the urgency of processes and institutions to address issues that are planetary in scale and scope.

Reporting to Jonathan Blake, the Associate Director of The Planetary, the Senior Program Coordinator will provide key support across a wide range of events, initiatives, and activities that bring together bright and
diverse minds.

Responsibilities:

• Assist Associate Director in building and strengthening partnerships with key individual and institutional stakeholders that support the theme’s research, convening, and framework building needs
• Provides administrative support and acts as primary point of contact for internal resource centers such as events, operations, finance, communications and design
- Collaborates with events teams on venue, catering, and related logistical requirements (e.g. invitation distribution & tracking, day-of coordination, post event debrief & budget reconciliation)
- Collaborates with operations and finance teams to accurately track contracts and invoices, maintain up to date budgets, and manage expenses tracking and reimbursements in accordance with Berggruen Institute guidelines
- Coordinate communication plans – events, publications, and multimedia – under the direction of the Associate Director in collaboration with the communications and design team
• Acts as key point of contact for supporting meeting scheduling, agenda building, note taking and action item reporting/follow-ups for all internal and external meetings
• Books travel and manages itineraries for Associate Director and key program stakeholders (internally and externally) for related projects in accordance with Berggruen Institute guidelines
• Supports research and development needs of Associate Director related to publication projects – including proofreading, citations, and interfacing with publication partners – as well as speculative
design / development projects and scientific research
• Other duties as assigned.

Skills:

• An interest in planetary-related issues and the ability to provide research support on related subject matter
• Bachelor’s degree combined with minimum two to three years of coordinator experience
• Excellent interpersonal, organizational, and communication skills required
• Able to use critical and creative thinking to solve problems, both large and small
• Able to work independently in a hybrid environment with minimal supervision
• A team-oriented individual who seeks out tasks when work is completed and assists co-workers to ensure goals deadlines are met
• Strong computer skills: Google Suite, Asana, Microsoft Office, Power Point, Teams, Zoom, etc.

Salary Range:

$28 - $32 per hour depending on skills and experience.
